E-Recruitment Terms and Conditions of Use
1. General Terms of Use and Privacy Policy
1.1 Your use of Durham University’s website https://www.dur.ac.uk/ and the Recruitment Service https://www.dur.ac.uk/jobs/ is subject to our terms of ownership, liability and use.
1.2 Personal information provided to Durham University is held in accordance with the Data Protection Act (1998) and the General Data Protection Regulation (2018).
1.3 Posts open to advertisement will be subject to fair, open competition.
2. Use of the E-Recruitment Service
2.1 To apply for a vacancy, in the first instance, you will be required to register your details. Subsequent applications by registered users will be submitted via the system by logging in with your previously created credentials.
2.2 Initial registration on the Durham University E-Recruitment service requires some personal information comprising an email address, first name, last name and postal code.
2.3 To apply for a vacancy, you will need to provide supplementary personal information for the online application form. Information required will depend on the nature of the advertised vacancy. This information will include personal details, academic qualifications, referee details and equal opportunities monitoring information.
2.4 By supplying information, including your CV and e-mail address (personal data) to the University you agree that the University may obtain, retain and process personal data supplied by you or relating to you for recruitment, vetting selection and appointment purposes (and subsequently if you are employed by the University, for payroll purposes, administration of employee benefits, mobility transfer and promotion purposes, to measure and record progress in the University including training, grievance, capability and disciplinary procedure and warnings, management of sickness absence and as required or permitted by statute or regulation and generally as necessary under the employment relationship and the university’s legitimate activities).
3. Use of the recruitment information collected
3.1 Once applications have been submitted to the University, all information provided and retained through the online recruitment system will be processed for the sole purpose of that application. The email address you provide will only be used for application related communication.
3.2 When an application is submitted, all information gathered in the recruitment and selection process, including CVs, application forms, letters, notes, references and other communications, is confidential to those involved in the Recruitment and Selection process and will not be disclosed to any third parties. Candidates' full CVs and application forms will be made available only to those involved in the appointment decision.
3.3 Your information is held in a secure database which is the sole property of Durham University and stored within the UK. Data collected through the recruitment process will not be passed to external representatives other than those used in a maintenance capacity by the university such as Computer and Information Services.
3.4 Please be informed that information supplied through the equal opportunities and diversity monitoring will not be considered in the recruitment and selection process. These details are requested and used for the purpose of ensuring that the university meets its Diversity and Equality policy.
3.5 You may be contacted at any date regarding your application.
3.6 Once the appointment has been made, application information, personal as well as employment eligibility details will be retained as part of your secure staff record. The university is obligated to provide staff related data to the Higher Education Statistics Agency (HESA). Some of your application information may be shared with HESA at a later date.
3.7 Application details for unsuccessful candidates are retained by the recruitment system and will be destroyed 6 months after the appointment date.
3.8 Candidate profiles are retained by the University for up to 12 months of activity or until the candidate deletes their profile whichever is the sooner.
